Handling of Personal Information

Visitors to this site who are customers or prospective customers of Obun Printing Co., Inc. (“Obun”) may for business purposes choose to provide to Obun, by email or other means, personal information that uniquely identifies, or that can be reasonably assumed to uniquely identify, a specific individual.

Obun may also receive personal information within the drafts and electronic data that are made available to us in the course of conducting our businesses of producing and mailing printed documents and providing web-related services.

Obun is committed to the principle of respect for individuals and individual privacy, and shall handle all such information with due care and diligence. Obun shall observe all appropriate rules and procedures for protecting such information, and shall implement and maintain an appropriate security system, so as to ensure the security of personal information, and of the media (electronic, paper, or otherwise) and networks on which it resides.

Please be aware that Obun assumes no responsibility for the handling and management of personal information by outside parties to whom our website may be linked.

1.Handling of Your Information, When Acquired In Writing Directly from You

(1)Why We Acquire and Use Personal Information

Obun (“we”, “us”, or “our”) may acquire and use personal information from a customer (“you” or “your”) for the purpose of explaining or delivering Obun products or services to you, or for the purpose of seeking your opinion about Obun products or services, or for other reason stipulated at the time you provide such information to us.

(2)Disclosure to Third Parties

Obun shall not, without your permission, disclose to any third party any personal information we receive from you for the purpose of or in the course of providing products or services to you, other than as may be required by law; with the exception that we may, at times, outsource print production work or web services work involving such information to outside parties, provided that we have first concluded an appropriate confidentiality agreement with such parties.

(3)Accuracy of Personal Information

It shall be assumed that any personal information that you enter or otherwise provide to us through this website has been provided by you willingly and intentionally. We reserve the right to block use of some or all of the services of this website to anyone who enters inaccurate or false personal information, and we make no representation as to the accuracy of personal information in cases where false or inaccurate entries have been included.

You have the following rights regarding personal information about you that we are holding (“your information”, “your personal information”): the right to request notification of how we intend to use your information (“purpose notificatin”); the right to request to see and review your information; and, if in the event of such review you find your information contains errors, the right to request us to correct or expunge your information. Please be aware that queries about personal information received through the department indicated above may be handled and answered by any of the following individuals, acting on behalf of the person in charge of privacy policy: the Director of Customer Affairs; the Director of e-Publishing; or the Director of General Affairs.

2.Handling of Your Information, When Not Acquired in Writing Directly from You

(1)Purpose of Acquisition and Use

When carrying out work under order from a contracting company, where such work involves tasks such as production of printed documents or web pages, or provision of web services, and where the materials provided to us for this purpose include personal information about one or more persons (“individuals”), our use of said information shall be limited to that required for successfully completing said tasks. Prior to accepting a contract for such tasks, we shall confirm that the contracting company has appropriately informed each individual with respect to the following, and obtained his or her consent.

  1. 1) The name or job title of, and method of contacting, the person in charge of privacy policy within the contracting company, or of person(s) in the contracting company authorized to act on behalf of said person in charge.
  2. 2) The purpose for acquiring and using the information, and the proviso that this information shall not be used for any other purpose without prior permission from the individual.
  3. 3) That the contacting company intends to provide this information to other(s) for the purpose of carrying out the said tasks; and whether the contracting company and those other(s) have concluded a basic transaction agreement, a separate agreement, a confidentially agreement, and/or some other agreement or protocol related to the protection of personal information.
  4. 4) That the individual has the right to request to see and review the personal information held about him or her; and if in the event of such review the individual finds that the information contains errors, the right to request the correction of said errors or the expungement of the information.

(2)Provision to Third Parties

We shall not disclose to any third party an individual’s personal information received from a contracting company, without first obtaining consent through the intermediation of that company from that individual, except where disclosure is required by law, or where we have confirmed that said individual has already given consent, or as provided in the following paragraph. For the purpose of successfully completing work ordered from a contracting company, where such work involves tasks such as production of printed documents or web pages, or provision of web services, we may outsource some or all of the portion of that work that involves personal information to other company(s), provided that we have concluded with said company(s) a contract or protocol related to protection of personal information, or other confidentiality agreement.

(3)Rights to Request Review, Correct, and Expunge

An individual has the following rights regarding his/her information that we are holding: the right to request purpose notification; the right to request to see and review this information; and, if in the event of such review the information is found to contain errors, the right to request us to correct or expunge this information. Upon receiving a request from some person to exercise any of these rights, we shall ask the consigning company to provide us with means to confirm the identify of said person, and shall act further upon that person’s request only if we can and do confirm that said person is in fact the individual described by the personal information in question. 3.How to Request Purpose Notification, Disclosure (Review), Correction, of Expungement of Personal Information

Please follow the procedures below to request any of the following related to your personal information retained by Obun: purpose notification; disclosure (review) of content; correction; or expungement.

(1)Requirements and Restrictions

To ensure adequate security, we require that all requests and important related documentation be submitted by registered mail. We regret that we cannot accept documentation sent by other means.

In principle, we must confirm your identity before we can act on your request to disclose your retained personal information; except that such confirmation may not be required if separate procedures are mandated by law, or if any of the concerns listed below apply. Please understand that we may contact you by phone, or take other such measures, to confirm your identity.

  1. 1) Where there is reason to be believe that doing so might endanger your or another person’s life, health, or other rights or interests
  2. 2) Where there is reason to believe that doing so might severely interfere with Obun’s appropriate conduct of business
  3. 3) Where prohibited by law

After receiving your request, we will notify you if any of the above-listed concerns apply, or if separate procedures are mandated by law. Note that we will not act on requests to modify or delete your information until we have first completed appropriate procedures for disclosing that information.

If a representative is acting on behalf of an individual to request purpose notification about, or disclosure of, that individual’s personal information, then the following documentation is also required.

If Request is from a Parent or Guardian:

  • One (1) copy of any of the following documents, or of something similar, certifying that the requesting person is officially recognized as a parent or guardian of the individual: family register; portion of family register; certification from family court; certificate of relevant registered information.
    Note 1: Document must have been issued within 30 day prior to making of the request.
    Note 2: Before sending the document, please blot out permanent address information, as this is not required.
  • Documentation affirming the identity of the parent of guardian making the request.
    Suitable documentation for this purpose is as set forth under “(2) How to Apply”; refer specifically to subsections “Accepted for personal identification” and “Submission of personal identification.”

If Request is from a Representative Appointed by the Individual:

  • Authorization, stamped with individual’s inkan (identity seal) (1 copy)
  • Certification of individual’s inkan registration (1 copy)
  • Documentation affirming the identity of the representative.
    Suitable documentation for this purpose is as set forth under “(2) How to Apply”; refer specifically to subsections “Accepted for personal identification” and “Submission of personal identification.”
    • Note 3:
      In the event that the presented documentation is insufficient of unclear, we shall so inform the submitter. If acceptable documentation is not forthcoming within a predetermined period, we shall consider the request to have been canceled and shall return the documentation we have received.

While Obun shall act promptly in handling the requests described above, please be aware that it may be take us two to three weeks to process the request and respond with the results. Results shall be sent to the submitter by registered mail. In cases where the request was for purpose notification or for disclosure of content, the submitter’s personal information shall be returned by inclusion within the same mailing.

Note that, when processing forms requesting notification of intended use, disclosure, modification, or expungement, Obun shall utilize the personal information on said forms only to the extent necessary to respond to the request.

Note also that we may be unable to respond in the following cases:

  • Where the submitted form does not include the requested personal information
  • Where the submitted form omits other essential items of information
  • Where the request has not been sent to us by registered mail
  • Where we are unable to ascertain that the submitter is in fact the individual whose personal information is the subject of the request, or an authorized representative of that individual
  • Where the submission does not include two (2) pieces of identification
    (Important: When requesting disclosure of retained personal information, two pieces of identification are required, and one of these must bear the submitter’s mailing address. Identification is not required when requesting modification or expungement, as such requests must always follow upon successful request for disclosure.)

Obun shall appropriately handle personal information acquired from submitted forms and documentation, and shall not provide or disclose such information to any third party without express permission from the submitter, except as may be required by law. After issuing results of of the request, Obun shall retain this information for a predetermined retention period and then discard it, using a shredder or other secure means.

(Important: When requesting disclosure of personal information, two pieces of identification are required, and one of these must bear the requster’s address. 〈Submission of personal identification〉
If requesting purpose notification or disclosure of retained personal information, be sure to include two pieces of personal identification, as indicated above, together with the request application form that you mail to us (by registered mail). Be sure that at lease one of the pieces of personal identification bears your address.

  • If requesting disclosure, be sure that the address on your personal identification matches the address you entered on the request form. If the request is in order, we will send the requested personal information to this address by registered mail.
  • If either piece of identification bears in entry indicating your “domicile by birth” (honsekichi), feel free to blacken out this information by writing over it with a magic marker or pen.
  • We will return these identification documents together with the information we send in response to your request.

(3)Miscellaneous Fees

Please note that you are expected to bear the cost of the registered mail we shall return in response to a request for disclosure or purpose notification.

  • Postage fee: 550 yen
  • How to pay: Include unused postage stamps, with total face value equal to the required amount, together with your request (in the same registered-mail envelope).
  • Note 1: We will notify you in the event that you have not included (sufficient) stamps for return post. If payment is not forthcoming within a predetermined period, we shall consider the request to have been canceled and shall return the documentation we have received.
  • Note 2: Additional fees may be required in certain cases. In such cases, we will notify you as to the required payment.

4.About Disclosure of Information

Guidelines for Disclosing, Amending, Expunging, or Learning Intended Use of Personal Information Retained by Obun

Obun maintains a personal-information management system (PMS) based on requirements set forth in the JIS Q 15001 standard. In addition, we make full efforts to comply with Japan’s Act on the Protection of Personal Information, and, to this end, to carry out activities to protect the personal information we are holding. These efforts, which cover information acquired both before and after the implementation of our PMS, are aimed at ensuring secure handling of personal information on all storage platforms we utilize—networks, electronic media, paper media, etc.—through the application of appropriate rules and procedures, and the implementation of a robust security system.
Japan’s Act on the Protection of Personal Information specifies that an individual whose personal information has been obtained must be provided means for learning the purpose for which this information is retained, and for requesting to review or amend or expunge this information. Obun therefore publicizes the following information, so that individuals will know how to proceed.

5.About Access Logs

When you access this site, our HTTP access log records your IP address, your browser type, and other basic access information. We may use this information in statistical analyses when working out ways to enhance our site and develop our web services. We use this information only to support site development, and for no other purpose.

Obun’s website uses browser cookies.
